Support for clubs during COVID 19.

Please see e-mail below from Sarah McCorry - CARA - concerning small business grants and business rate relief for CASCs.  Looks like £10K on offer for small businesses, well worth a try!

"Just to inform you all that there is support out there for your club should you need it..

Herne Bay have been successful in receiving a small buisness grant for their club, an extremely easy and quick process through their local authority.

Shoreham have been written to directly by their council and as a registered CASC club, usually receiving 80% rate relief, currently have 100% relief and the ability to apply for more support if they need to.

It is definitely worth making contacting you havent had any l, so if you haven't been contacted it is definitely worth looking in to. "

Please let us know of any success you have.

H&D ARA Executive Meeting. Saturday, 18th April, 2020. Via Zoom.

H&D ARA Executive Meeting. Saturday, 18th April, 2020. Via Zoom.

The Hants & Dorset ARA held an on-line meeting of the Executive Officers on Saturday, 18th April, 2020 via Zoom.
In attendance were - Pete Staddon, in the chair; Sue Sothcott, Treasurer and Steve Bull and Penny Budd - Joint Association Secretaries.
Here are the main points that came out of the meeting with regards to the Hants & Dorset ARA -
May Regattas
- We have so far only received provisional rescheduled dates for the following regattas which are affected by the May cancellations:
- Woolston either Sunday 5th July or Saturday 22nd August.
- Ryde & Shanklin - 22nd/23rd August but still not sure if IOW council will grant permission.
June Regattas
- Whilst it is assumed that no sporting events will be allowed in June, we feel that we don't need to make an official decision until early May - suggested at the end of this current lock down so after 7th May.
- Coalporters are proposing that if have to reschedule from June, to hold the regatta on 11th July.
- Swanage regatta cannot go ahead - Sue is to speak to Swanage Council about permission to hold on weekend of 12th Sept. Sue advised that many events are often held in September along with all cancelled summer events may wish to reschedule - will see what Swanage Council say.
Championship standings
- The H&D ruling is that 3 regattas have to take place in order for a championship to be held but it maybe that we only have a limited number of regattas this year and we cannot be sure that all crews will have a level of fitness which would warrant a championship. It was agreed that it will be discussed in May/June when we are more clear on how many regattas we can stage whether we have championship points awarded for 2020.
AGM proposed date
- Pete proposed that we look at conducting an online meeting for the AGM and only allow one member per club and VP's, possibly omitting life members.
- Steve is to look at the current agenda and see what sections we do not have to discuss (which could be done by sending relevant report out prior to online meeting)
- Look at meeting around the end of May. Date t.b.c.
Head Races - autumn series
- So far we have interest/ dates set for the following
- Southsea Head 20th or 27th Sept (preferable 27th)
- Southampton Coastal Fours (rescheduled from April) 17th October
- Christchurch/Stour - mid to end of October
- Isle of Wight clubs are considering holding a Head on the Medina

Registration of Members and Affiliation Fees
- All clubs are going to be asked to register their members by 30th May but we appreciate that these may be depleted this year -but it is important the we register rowing members as this effect the amount of money we will have to pay British Rowing, as part of their Affiliation fee in 2021. For the same reason Invoices for this years Hants & Dorset Affiliation fees will go out shortly.
Sharing club ideas forum
- Pete suggested that we should have a forum or means of communicating with all clubs and sharing ideas things they are doing online to keep active/in touch/maintain the rowing club community
- Suggested that we speak to Andi about promoting this on H&D Face book page and encourage clubs to promote what they are doing with pics/info. Penny to speak to Andi
H&D Dinner
- Planned for 14th November. It was felt that whilst we may not be presenting championship trophies, to still go ahead with the dinner as a celebration dinner for all clubs.

Older members of H&D
- Pete said that he would contact older, more vulnerable members of H&D to check that they are OK.
Next meeting / online meeting Sat 9th May 10:00am
Steve Bull & Penny Budd. Joint Association Secretaries.

HDARA AGM and Club facilities during lockdown.

H&D AGMDue to not being able to hold the association AGM on the 21st March, we provisionally pencilled in the date for the 18th April to either hold the AGM or review with the executive committee an extension of this date. This meeting will not be held on the 18th April but we will hold a conference call with executive officers to discuss and review the situation regarding the racing schedule. We will once again look to hold the AGM prior to any racing commencing and have earmarked the date of Saturday 16th May to either hold the AGM or have another review via conference call.

Club facilities on lockdownWe are sure that all club committees have in place contingency plans for the clubs to be locked down for the duration and we are sure that most clubs have undertaken the necessary requirements to ensure their facilities safety over this period but here is a checklist just in case.

- Make sure all entrances/windows and outside equipment is secure. If any boats are usually stored outside, try and see if they can be moved inside for the duration of     lockdown.- Many clubs have loaned out ergos and gym equipment to members which means they are not left on site.- Inform your insurance company if they do not already know, that the premises are not being used. - Turn off any water/hot water/heating that is not required.- If you have a bar, ensure that all money has been taken off the premises and lock and store as much stock away in lockable stores.- See if you can organise with committee members who live locally to walk/cycle by on their daily exercise to check the outside of the premises for any signs of damage and that all is still secure.- Many clubs have taken the trophies home to various members houses to store securely for the duration of the lockdown. If this cannot be done, we would recommend that trophies are stored/locked away from sight if at all possible.

Once again, this is an uncertain time for all of us and we can only pass on our thoughts and wishes to all of our clubs and members that they, and their families, stay safe and healthy. As an association, we hope that we will see some racing at some point this season and will do everything we can to support clubs if we can get back to some form of normality.
Stay safe, stay home and thank you once again for your understanding and support.

Best regards.
