IMPORTANT. BTC Regatta. Saturday, 20th August. Contingency plan in light of poor forecast.

Many of you will be aware that the forecast for this Saturday, 20th August, when the last H&D Regatta of the season is due to take place at BTC is very poor with the strong possibility that their course at Western shore will not be rowable.
Rather than loose the last Regatta of the season BTC are working with Coalporters on a contingency plan to see if, in the event of the conditions forcing the cancellation of the BTC Regatta at Western shore the event, with a reduced program, could be staged over the Coalporters course. 
If this was to be the case then, because of the tides, the Regatta would have to start much earlier - at 9.00am - and would have to be completed by around 4.00pm and there would be a much reduced program - with most of the small boat events at risk.
The plan is to make a decision on this on Thursday - based on the forecast - and a draft reduced program would be published at the same time.
Please monitor your E Mails, H&D Web site, Twitter feed and face book page over the next few days where updates on the situation will be published.
Any concerns about this plan should be referred to John Purkess at BTC in the first instance.
In the event of a switch of venue the planned Council Meeting to consider our South Cost Championship representatives and confirm the H&D ARA Champions would take place at the Coalporters Rowing Club as soon as possible after the completion of the Regatta.

MEETING OF THE ASSOCIATION COUNCIL.

Saturday, 20th August, 2016, after BTC Regatta.

There will be a Meeting of the Association Council on Saturday, 20th August, 2016 after BTC Regatta, at the Regatta site, with reference to the Associations Constitution - Rules (7) and (12). The meeting will be held immediately before or after the prize giving depending on the circumstances - an announcement will be made over the PA system.

Voting rights at the council meeting are the Associations Executive Officers, the Associations Life Vice Presidents plus one delegates from each affiliated Club and one delegate from each affiliated Event(H&D Constitution Rules number (7/7.1). Officers and delegates must be in attendance to vote and the vote will be by card - which will be issued at or before the meeting.

Alternative arrangements in the very unlikely event that the BTC Regatta is cancelled or abandoned -

1) If the BTC Regatta is abandoned after the start of the Regatta the Council meeting will take place at the Regatta as soon as practical - the time will be announced over the PA System at the Regatta.

2) If  the Regatta is cancelled the day before the Regatta due to the forecast, or on the morning of the Regatta, but before it starts, the meeting will take place at BTC or Itchen Imperial Rowing Club at 1.00pm on Saturday, 20th August.

Agenda.

1) To confirm the Associations Champions in each status and to make arrangements for a "row-off" if applicable.

2) To consider if the Association will enter 3rd crews in Championship events if SCC Rule 25 (B) is invoked see below).

3) To agree the Associations representative Crews for the South Coast Championship Regatta to be held at Herne Bay, Kent, on Saturday, 3rd September, 2016 and to make arrangements for any "row-offs" that may be required.

4) Any Other Business - submitted in accordance with Association Rules.

Message from South Coast Journalism ref. Filming at Itchen Regatta on Saturday.

South Coast Journalism will be providing our usual highlights service for this Saturday's Itchen Regatta but there will be a change for our Online Store. 

The usual camera-team are unavailable for the regatta, so Talia (pictured, right) will be filming the regatta independently. 
This is only an issue due to the length of the regatta and Talia will not be able to charge batteries or take a break if she was to film the entire 77 race, 7+ hours programme (we normally have 2 team-members on for the longer regattas).
All the adult finals, including the Double Sculls, are set to be filmed. Talia cannot film every heat. However, we understand how important it is for crews to be able to download the race footage so we have set up a pre-order service in our Online Store for the heats / semi-finals. Please order before 9pm on Friday (12th August) so that we can set up a final filming list for Talia to work from on Saturday. If, for whatever reason, your pre-ordered race is scratched or is not filmed, you will be given a full refund. 

Video Highlights, pre-ordered downloads and instant downloads will be published on Monday night (estimated time is 9pm).

2016 South Coast Championships Regatta, Herne Bay, 3/9/16. Friday Evening Reception

Clubs and individuals should have started to receive invitations to the 2016 South Coast Championships Civic Reception and Championship draw - at the Herne Bay R. C. Clubhouse on Friday, 2nd September, 2016 the evening before the Regatta.
Your Executive Officers just wanted to make you all aware of who should be receiving invitations and why. Herne Bay Rowing Club who are hosting the Regatta on behalf of the Coast Amateur Rowing Association have limited the number of invitations to fifty per Association - and as a result your Executive Officers have been forced to make a decision on who would receive them. 
Our decision was that each affiliated club should receive two invitations, the Associations Executive Officers and their partners, the Hants & Dorset South Coast Council Delegates and their partners and the H&DARA Race Officials at the Championhips and their partners should receive an invitation - and in spite of duplications this still exceeded the fifty tickets we were allocated. Unfortunately this left no tickets for the other Association Life Vice Presidents or representatives from the H&D ARA Championship crews - which is very disappointing. No doubt some will argue that this distribution of tickets is unfair and should have been done differently - but it is in line with the recent practise.
Clubs can of course choose to allocate their two Club invitations to representatives of their Championship crews as can any individual who receives an invitation.
Presumably for most Championship crews representatives it will be the Championship draw they will be most interested in and so - subject to an appropriate signal/Internet connection we will attempt to post the Championship draws on to the H&D Web site - and to our Twitter feed and face book page as soon as we can.
It is disappointing that we are unable to invite the representatives of the Championships but we hope you will understand and accept the decision taken by your Executive Officers in the light of the invitation restrictions.
